The 2024 Extension Reporting System (ERS) close-out schedule is as follows:

  • Friday January 10, 2025 – Deadline for program assistants, agents and CEDs to complete data input for the 2024 reporting year.
  • Wednesday January 15, 2025 – Deadline for CEDs & DEDs to review data, approve pending success stories, have missing data entered, and rectify any data concerns or abnormalities. 
    • Help desk support for 2024 data entry will end at 5 p.m. on January 15 and ERS will lock at 11:59 p.m.
  • Thursday January 16, 2024 – Begin 2025 ERS data entry.
NO additions or modifications to the 2024 ERS data can be made after 11:59 p.m. on January 15th. It is imperative that you have all data entered and reviewed for accuracy prior to this deadline and that all success stories are approved. Once ERS locks no exceptions can be made; therefore, you are advised to complete your ERS reporting as early as possible to allow for any unexpected situations to arise.
Some common errors in data entry to look out for:

Program Activity Reports:  Are the activities classified under the correct activity type and given a clear name that describes the course content? Review pages 5-6 of the ERS User Guide for the definitions of activity types.

  • “Meetings” are not a Group Activity. They should be listed under Facilitation. If you conducted an educational program at a meeting, the program title should be the name of the educational event, not the name of the meeting. The word “Meeting” should not be included in the title of any Group Activities unless you were teaching a class on how to conduct effective meetings…
  • Fairs, festivals, open houses, workdays. kick-offs, and informational booths should be classified as Outreach activities.
  • All youth programming for ages 5-19 should be reported under the 4-H Youth Development Objective
  • Educational courses or presentations provided to fellow Extension Employees/Staff or NC State Students should NOT be included in ERS. These activities can be reported in your XPD.

Volunteer Activity Reports: Have you included all volunteer hours including Advisory Leadership Meetings and use of volunteers?

Civil RIghts Reports:Have you reported demographic data for all advisory leadership committees?

Team Reporting: Remember to tag campus/research station faculty/employees as part of team reporting if they assist in your program delivery.

Helene Recovery Efforts: A new objective and outcome measures were added for capturing disaster recovery efforts.
