The Extension Reporting System (ERS) is a web-based activity reporting system used to collect and report information about the accomplishments of Extension educators and the clients they serve. The data entered in ERS is used to meet Extension’s state and federal reporting requirements as well as to develop materials to share with our stakeholders to demonstrate Extension’s impact.

ERS 2022 System Update

The ERS system been updated to better meet the reporting needs of Extension. Before using the new system please take the time to review the following documents. Additional resources and videos will be added in the upcoming weeks.

2022 ERS Outcomes

  • Review ALL of the outcome measures across all of the objectives to determine what metrics you should be collecting throughout the year.
  • Report ALL relevant outcomes.
  • The number of objectives you report outcomes under is NOT related to anything else – so don’t limit yourself. Just because you report an outcome under an objective does NOT mean you have to write a success story or have to have that objective in your Plan of Work…
  • ALL activities and events with a target audience age 18 and under are reported under 4-H Youth Development.
  • Changes have been made to some of the outcomes this year so make sure you take a look at this document.
  • Additional program area specific resources will be coming over the next few months to help with data collection.

ERS Reporting Standards

Entering data into ERS should be a routine part of your job. It’s important that ERS data is entered on a timely basis to ensure that when Extension is asked to provide reports to our stakeholders, the data we provide is accurate. Review the reporting standards prior to logging into ERS for the first time in 2022. The first time you log in, you will acknowledge that you read the reporting standards.

ERS User Guide

In many ways ERS is looks the same but once you look around, a few modules are very different. There have also been some changes that you can’t see and if you take advantage of them can change your ERS user experience.

As part of the 2022 User Agreement, you are asked to review the ERS user guide. Additional resources will be coming out in the next week but the user guide will get you started.

Major Changes

  • The contacts report module no longer exists – this has been combined with the Program Activities Module. This is a key section to review in the User Guide.
  • In addition to selecting an objective you can also select one or more programs to allow for more granular reporting.
  • You can create educational activities automatically by importing Eventbrite registrations into ERS. Instructions will be coming soon.
  • Civil Rights Module  – Census data has been updated to the 2019 American Community Survey. An option  – NCDA was added to allow selection of your county’s US Census of Agriculture producer demographic data. Calculation of parity was added to the module. Parity for your Educational Activities is also calculated.
  • Volunteer Activity Module  – Volunteer data for Extension Master Gardener Volunteers is automatically imported from the EMGV Application. No data entry for EMGV is made in in the ERS volunteer activity module.
  • The 4-H Core Elements Module has been eliminated
  • Success Stories & Fiscal Activities Modules  – no changes

ERS Q&A on Zoom

Three sessions have been scheduled  – sign up in XLMS   Additional sessions will be scheduled if needed and program area specific sessions will likely be scheduled in March(ish):

  • 1/31 @ 10 a.m.
  • 2/2 @ 1 p.m.
  • 2/4 @ 9 a.m.

Ways to Collect Demographics While Zooming

Using Zoom is a popular way to conduct virtual face-to-face training, meetings, and other events. To report your Zoom contacts in ERS you will need the demographics of your meeting participants. Review the tipsheets below for ideas on how to collect your participant demographics for ERS reporting.

Reporting TeleWork Activities

In this unprecedented time in our lives it is likely that ERS reporting is not tops on your mind. But when we eventually return to normal your ERS data may be a bit slim for this year even though we have been working harder than ever. To avoid this, a tipsheet has been developed to provide telework reporting tips during this time of social distancing and telework.
