Advanced planning and preparation of the most compelling information to include that demonstrates the impact of your Extension work will ensure timely submission of a complete title promotion package. This checklist serves as a guide and should not be submitted as part of your package.


Intent to Apply: Before beginning the process of assembling and submitting your Title Promotion package complete the Intent to Apply by December 15.

Title Promotion Mentor: Identify an employee who has achieved the rank you are seeking and ask them to be your Title Promotion Mentor. If you have difficulty locating a mentor ask your CED/DED for help.

Responsibilities: Update your Areas of Responsibilities.

5  Years of Performance Review Ratings (EPAT, XPM, or Annual Performance Appraisal):  If your position falls into a classification that uses the XPM system your ratings will auto-populate. If your scores did not auto-populate, obtain your converted 3 point scale scores from your CED or DED and fill in your ratings.The promotion is dependent upon the agent receiving no less than a “meets expectations” on his/her annual performance review

Master’s Degree: Promotion to Associate Agent and Agent requires having satisfactorily completed a Master’s degree. Include your degree completion information in your XPD record.

Graduate Course Requirement: Promotion to Associate Agent and Agent requires taking and passing a three credit hour graduate level course every five (5) years. Include graduate courses completed in the past 5 years in your XPD record.

Narrative:  Use the Title Promotion Template for the Narrative. Do not modify the template. Your submission cannot exceed 25 pages using a 12 point font or it will not be accepted. Use graphs and tables where possible to illustrate impact data and include success stories that show programmatic impact over the past 5 years.

Professional Development:  Information from the past 5 years that is contained in your XPD record will be imported into your Title Promotion package. Review your XPD Record to make sure it is up to date and contains the information you want reviewed as part of your promotion package. Make sure required degrees and recent graduate coursework is listed in your XPD record.

County Manager Recommendation Letter (Specialist or Program Leader Recommendation Letter for ASAs): Letters must be on letterhead and signed. This letter will be uploaded by the CED or DED.

Under NO circumstances will late submissions of Title Promotion Packages be accepted. DEADLINE:  March 1
